01 Who we are
Earth Surveillance is an AI-driven land intelligence company that helps farms, cooperatives, forest owners, and investors document, verify, and monetise their environmental performance.

When you contact us through our website — for example by submitting a contact form or booking a Discovery Study — Earth Surveillance is the data controller responsible for your personal data.
02 What data we collect
When you submit a contact form on our website, we collect the information you provide, which may include:
- First and last name
- Business email address
- Phone number or WhatsApp number
- Company or farm name
- Country of operation
- Role or job title
- Farm size (hectares) and existing certifications
- Free-text notes you choose to include
- The page you submitted the form from and the date and time of submission
We do not collect sensitive personal data (such as health data, political opinions, or financial account details) through our contact forms. We do not collect data from children.
03 Why we collect it and our legal basis
You have voluntarily submitted a business enquiry. We have a legitimate interest in processing your contact details in order to respond to that enquiry and assess whether our services are relevant to your operation. This interest is not overridden by your interests or rights, as you initiated the contact and the data relates to your professional activity.
Where we rely on legitimate interest, you have the right to object at any time (see section 7).
In some cases — for example, if we send you follow-up communications that go beyond responding to your enquiry — we may ask for your explicit consent. In that case, consent (Article 6(1)(a) GDPR) becomes the legal basis for that specific processing.
04 How we use your data
We use the information you submit to:
- Respond to your enquiry and schedule a Discovery Study or clarity call
- Prepare a brief and proposal relevant to your operation
- Record your enquiry in our internal lead tracker (Google Sheets)
- Follow up if we have not heard back within a reasonable period
- Improve our understanding of the market segments we serve
We do not use your data for automated decision-making or profiling that produces legal or similarly significant effects.
We do not sell your data to third parties. We do not use your data for unrelated marketing without your explicit consent.
06 How long we keep your data
We retain contact data for a maximum of 24 months from the date of your last interaction with us, unless:
- You become a client — in which case we retain relevant data for the duration of the engagement and as required by applicable law (typically 5 years for financial records)
- You ask us to delete your data sooner (see section 7)
- Applicable law requires a longer retention period
After the retention period, data is deleted from our systems and processors.
07 Your rights
Under GDPR, you have the following rights regarding your personal data:
- Right of access — you can request a copy of the data we hold about you
- Right to rectification — you can ask us to correct inaccurate data
- Right to erasure — you can ask us to delete your data, subject to legal obligations
- Right to restriction — you can ask us to limit how we use your data
- Right to data portability — you can request your data in a machine-readable format
- Right to object — you can object to processing based on legitimate interest at any time. We will stop processing unless we can demonstrate compelling legitimate grounds that override your interests
- Right to withdraw consent — where processing is based on consent, you can withdraw it at any time without affecting the lawfulness of prior processing

08 Security
We take reasonable technical and organisational measures to protect your data against unauthorised access, loss, or misuse. These include access controls, encrypted data transmission (HTTPS), and limiting data access to team members who need it.
In the event of a data breach that is likely to result in a risk to your rights and freedoms, we will notify the Danish Data Protection Agency (Datatilsynet) within 72 hours and inform affected individuals where required.
10 Changes to this policy
We may update this privacy policy from time to time to reflect changes in our practices or applicable law. The current version is always available at this URL. Material changes will be communicated to active contacts by email where we hold a valid address.
